We’re looking for a dedicated Executive Assistant to support the firm’s leadership team in a remote capacity. The Executive Assistant will provide high\-level administrative support to the executive team at Karen S. Freeman, CPA. This remote role will be essential in managing calendars, scheduling meetings, preparing reports, and assisting with day\-to\-day operations. The ideal candidate is proactive, detail\-oriented, and a master of multitasking. This is a fantastic opportunity for someone with a strong administrative background who wants to work in a fast\-paced, client\-focused environment.
Responsibilities:
- Manage executive calendars, scheduling appointments, meetings, and conferences, ensuring optimal time management.
- Coordinate travel: Book and arrange travel, accommodations, and itineraries for the executive team.
- Prepare and manage reports, presentations, and correspondence for the leadership team.
- Assist with project management: Support ongoing projects by organizing deadlines, tracking progress, and ensuring efficient communication between departments.
- Act as a liaison between the executive team and internal/external stakeholders, ensuring seamless communication.
- Maintain confidential records: Handle sensitive information with discretion, ensuring confidentiality at all times.
- Prepare agendas for meetings and ensure executives are prepared for all engagements.
- Support tax season activities, helping to coordinate team efforts, manage client communications, and ensure the smooth flow of operations.
- Research and manage special projects as requested by the executives.
- Handle client communication on behalf of the executives, including email and phone outreach.
- Oversee administrative processes within the office to ensure efficiency and organization across remote teams.
- 2\+ years of experience in an executive assistant or similar administrative role.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with a focus on professionalism and clarity.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with remote work tools (Zoom, Slack, etc.).
- Strong problem\-solving skills and the ability to work independently with minimal supervision.
- Experience in managing multiple calendars and scheduling complex meetings.
- Detail\-oriented with a proactive approach to anticipating the needs of the executive team.
- Tech\-savvy: Ability to adapt quickly to new software or digital tools.
- Discretion and confidentiality when dealing with sensitive information.
- Experience in a remote working environment is preferred.
- Experience in the accounting or tax industry is a plus.
- Project management skills and familiarity with tools like Asana, Trello, or Monday.com.
- Knowledge of CRM systems and other digital tools commonly used in a virtual office.
